Definitions

• Account: The personal account you use to access StuClubs and its Services.
• Organization: Any student club, team, initiative, committee, organization, or entity that uses StuClubs to manage its activities.
• Organization Administrator: A user who is granted administrative or operational permissions by an Organization within its space on StuClubs.
• Content: Text, images, files, forms, pages, posts, data, and any other materials uploaded, created, or shared through the Service.
• Paid Services: Any subscription, membership, event, course, product, or other service for which payment is made through StuClubs or through a payment provider connected to the Service.

Eligibility to Use the Service

The Service is not intended for anyone under 18 years of age. By using the Service, you represent that you are at least 18 years old and have the legal capacity required to agree to these Terms.

If you use StuClubs on behalf of an Organization, you represent that you have the authority required to use the Service on behalf of that Organization within the limits of the role or permissions granted to you.

Accounts and Account Security

You may need to create an Account to use certain parts of the Service. You are responsible for the accuracy of the information you provide, for maintaining the confidentiality of your login credentials, and for not sharing your Account in a way that allows others to impersonate you or act on your behalf.

You must notify us if you suspect unauthorized use of your Account. We may require you to verify your identity or ownership of the Account before completing certain requests relating to security or access to data.

Your StuClubs Account is your personal user account. Joining an Organization or receiving an administrative role within it does not mean that the Organization owns your personal Account. Your role or membership in an Organization may end while your StuClubs Account and your use of other Organizations with which you are associated remain active.

Nature of StuClubs

StuClubs is a technology platform that helps Organizations operate and manage their activities digitally. Available tools may include member, team, and committee management, page creation, forms and surveys, registration and recruitment, events and courses, certificates, workspaces, projects and tasks, communications, analytics, and other tools that we may add or develop from time to time.

Some services or tools may not be available to all users or Organizations, and their availability may depend on the type of Account, plan, Organization settings, or the current stage of the Service.

Relationship Between StuClubs and Organizations

Organizations that use StuClubs are independent from StuClubs unless we expressly state otherwise. The presence of an Organization page, event, membership, or form on the platform does not mean that we operate that Organization, approve its decisions, or guarantee what it provides.

The Organization and its administrators are responsible for the information and Content they publish, membership conditions, acceptance and rejection criteria, recruitment decisions, event schedules, attendance requirements, promises or benefits offered to users, and any other obligations relating to the Organization’s activities.

When you interact with an Organization through StuClubs, your relationship relating to a membership, event, or activity may be directly with that Organization, while we provide the technical infrastructure that enables that interaction.

Organization Permissions and Administration

The Service may allow Organization Administrators to grant different roles and permissions to other members. Organization Administrators are responsible for granting appropriate permissions, reviewing those permissions, and revoking them when roles change or a user’s relationship with the Organization ends.

A user with administrative permissions may perform actions that affect other members or the Organization’s Content, such as accepting applications, editing pages, managing events, or accessing certain data. These permissions must be used only for lawful purposes related to the operation of the Organization.

You must not attempt to bypass the permissions granted to you, access data belonging to an Organization, group, or user that you are not authorized to access, or exploit a technical issue to obtain additional permissions.

Public Pages and Page Builder

StuClubs may allow Organizations to create public pages, informational pages, and pages for events or memberships using the page-building tools available within the Service.

The Organization is responsible for the accuracy of what it publishes on those pages, including names, logos, images, links, contact information, dates, prices, and any terms or promises published for visitors.

Some pages may be publicly accessible and shareable outside StuClubs. An Organization must not publish personal or confidential information on a public page unless it has an appropriate basis for doing so.

Forms and Surveys

Organizations may create forms, surveys, and applications to collect responses, such as membership applications, registrations, evaluations, expressions of interest, and other similar responses. The Organization must use these tools lawfully and must not request data that it does not need for the purpose of the form.

When you complete a form belonging to an Organization, administrators or other authorized users within that Organization may be able to access your responses depending on the form settings and the permissions applied to it.

The Organization that creates the form is responsible for determining the purpose for which the requested data is collected and for using that data in accordance with applicable laws. We may process such data to operate the Service and enable the Organization to use form-related features, in accordance with our Privacy Policy and the nature of our relationship with the Organization.

Applications and Recruitment

Organizations may use StuClubs to manage applications or recruitment stages, interviews, acceptances, and rejections. Providing these tools does not make StuClubs a party to any decision regarding your acceptance, rejection, or evaluation.

The Organization is responsible for its criteria, decisions, and communications with applicants, and must not use these tools in a manner that violates applicable laws, is unlawfully discriminatory, or is unrelated to the activity for which the application was created.

Memberships

Some Organizations may offer free or paid memberships, or different membership levels, through StuClubs. Where applicable, the Organization must present the key information relating to a membership, such as its duration, price, benefits, requirements, and renewal or cancellation terms, before the membership is completed.

Use of StuClubs does not guarantee the continuation of any particular membership or the continued operation of the Organization itself. An Organization may suspend or terminate a user’s membership in accordance with its published rules, subject to applicable laws and rights that cannot be waived by agreement.

Events, Courses, and Attendance

The Service may allow Organizations to create events, courses, and programs, manage registration and attendance, and issue certificates or records of participation.

The organizing Organization is responsible for the accuracy of event or course information, its location, time, requirements, safe delivery, and any changes or cancellations relating to it, unless StuClubs is expressly identified as the organizer.

Certificates or attendance records issued through the Service are based on the information and records provided or approved by the organizing Organization. StuClubs provides the technical tool and does not independently guarantee the validity of any professional or academic accreditation unless expressly stated by us.

Payments and Pricing

StuClubs may allow payments for memberships, events, courses, or other services. Where payment is required, the price, material amounts due, and any applicable fees or taxes must be shown to you before the transaction is completed.

Payments may be processed through third-party payment providers, and the payment transaction may also be subject to the terms and policies of the relevant payment provider.

Unless you are expressly informed that StuClubs is the seller or provider of the relevant service, the Organization offering the membership, event, or course is responsible for providing it, and StuClubs operates as a technology platform facilitating the transaction.

StuClubs may charge fees for certain plans, features, or transactions. Applicable fees will be disclosed before you become bound by them or will be specified in the agreement with the Organization. Previous pricing or temporary offers do not create an ongoing obligation unless expressly stated otherwise.

Cancellation and Refunds

The terms governing cancellation of memberships, events, or courses and the refund of payments depend on the type of transaction and the policy of the Organization providing the relevant service, together with any rights established by applicable law that cannot be waived.

Where required, the relevant cancellation or refund policy must be presented to the user before the transaction is completed. If StuClubs is the direct provider of the relevant service, the policy presented by us at the time of purchase will apply.

Certain refunds may take additional time to appear on the payment method due to procedures of the payment provider or bank, which may be outside our control.

Content Provided by Users and Organizations

You retain ownership of Content that you own and upload to StuClubs. By publishing or uploading Content, you grant us a non-exclusive license, limited only to what is necessary to host, copy, process, display, and technically distribute that Content for the purpose of operating the Service and providing its features to you and the Organization using it.

You are responsible for ensuring that you own the necessary rights to any Content you upload or that you have valid permission to use it. You must not upload Content that infringes intellectual property rights, privacy rights, confidentiality obligations, or any other rights of third parties.

We may remove or restrict access to Content if we reasonably believe that it violates these Terms, applicable laws, or creates a risk to the Service or its users.

Acceptable Use

When using StuClubs, you must not:

• Use the Service for unlawful, fraudulent, or misleading activities.
• Impersonate another user or Organization or provide materially false information.
• Access Accounts, data, or areas that you are not authorized to access.
• Attempt to disrupt the Service, test its security without authorization, or bypass security measures.
• Upload malicious software or files designed to harm the Service or its users.
• Collect or use user data outside the purpose for which it was collected or without an appropriate basis.
• Use communication tools to send spam, unauthorized campaigns, or Content that violates applicable laws.
• Copy, reverse engineer, or exploit the Service to create a derivative product in a manner that violates the rights granted to you or applicable laws.

Communications and Notifications

We may send you notifications relating to your Account, its security, or the Services you use through email, in-app notifications, or other communication methods available through the Service.

Organizations with which you are associated may send you messages through StuClubs for purposes relating to your membership, applications, or their activities. The Organization is responsible for the Content it sends through the communication tools made available to it.

Certain communications necessary for Account operation, security, or completion of a transaction you requested may not be optional, while other types of communications may be managed through the options available within the Service.

Third-Party Services

StuClubs may integrate with third-party services such as payment gateways, email services, storage providers, authentication providers, or analytics services.

Your use of a third-party service may be subject to separate terms and policies of that provider. We are not responsible for the third-party service itself or for changes or interruptions to that service outside our control, while remaining responsible for any legal obligations that apply to us in connection with how we select and use service providers.

StuClubs Intellectual Property

Except for Content belonging to users and Organizations, the Service, software, designs, trademarks, logos, interfaces, and materials that we own or license are protected by intellectual property rights and applicable laws.

These Terms grant you a limited, non-exclusive, revocable right to use the Service for its intended purposes. They do not grant you ownership of the software, trademark, or any other part of StuClubs.

Privacy and Data Protection

The manner in which we collect, use, and protect Personal Data is governed by our Privacy Policy, which forms a complementary part of these Terms.

When you use features that provide you with access to data relating to other users, you must handle that data only within the scope of your permissions and for the purpose for which access was granted, and in accordance with applicable laws and requirements.

Service Availability and Development

We continuously develop StuClubs and may therefore add, modify, or discontinue certain features or change how they operate. We may also need to temporarily suspend the Service for maintenance, security, or technical reasons.

We will make reasonable efforts to maintain the continuity of the Service, but we do not guarantee that all features will be available without interruption or error at all times.

If a material change directly affects a Paid Service, we will address that change in accordance with the applicable agreement and relevant legal rights.

Account Suspension or Restriction

We may suspend an Account, restrict certain permissions, or prevent access to part of the Service where there is a reasonable basis to do so, including suspected security compromise, unauthorized use, a material violation of these Terms, or a risk to other users or the stability of the Service.

Where appropriate and reasonably possible, we will consider the nature and effect of the violation before taking permanent action, and we may request additional information from you to assess the matter.

Termination of Use

You may stop using StuClubs at any time and may request closure of your Account through the available options, subject to our Privacy Policy and any legal obligations that may require certain information to be retained for a specified period.

Ending your relationship with a particular Organization does not necessarily delete your StuClubs Account. Similarly, deleting your Account may not automatically remove records that an Organization is lawfully required to retain, such as transaction records, attendance records, or documents connected with legal obligations.

Disclaimer

StuClubs is provided as a technology service that helps users and Organizations manage their activities. We do not guarantee your acceptance into an Organization, receipt of a membership, attendance at an event, or any particular outcome from using any of the Service’s tools.

We are not responsible for independent decisions made by Organizations, the accuracy of all Content published by users, or any obligation that we have not expressly undertaken, without prejudice to any liability that cannot legally be excluded.

Limitation of Liability

To the extent permitted by applicable law, we will not be liable for indirect or consequential damages arising solely from the use of, or inability to use, the Service, or from the acts of an Organization or user acting independently from us.

Nothing in these Terms shall be interpreted as excluding or limiting any liability that cannot legally be excluded or limited, nor shall these Terms affect any statutory consumer rights that apply.

Indemnification for Violations

If your intentional or unlawful violation of these Terms or the rights of a third party results in a direct claim or loss against StuClubs, you may be responsible for the damages and costs resulting from that violation to the extent determined by applicable laws and the competent authorities.

Governing Law

These Terms are governed by and interpreted in accordance with the laws and regulations applicable in the Kingdom of Saudi Arabia.

We will first seek to address any complaint or dispute relating to the Service through the available support and communication channels. If the matter cannot be resolved, jurisdiction shall lie with the competent authorities or courts in the Kingdom of Saudi Arabia in accordance with applicable laws.

Modifications to These Terms

We may revise these Terms from time to time to develop the Service or reflect operational or legal changes. If we make a material change, we may notify you by email, through a notice within the Service, or through another appropriate method.

The previous version will continue to apply until the updated version becomes effective on the date stated in it. Your continued use of the Service after the updated Terms become effective constitutes acceptance of the updated Terms to the extent permitted by applicable law.

General Provisions

If any provision of these Terms is found to be unenforceable, the remaining provisions will not be affected, and the relevant provision will apply to the extent that it is valid and legally permitted.

Our failure to exercise a right immediately does not constitute a waiver of that right. You may not transfer your obligations or rights under these Terms to another party in a manner that harms user rights or violates applicable law without appropriate consent.

The Arabic version of these Terms is the primary version. If we provide a translation into another language, that translation is provided for convenience. In the event of a conflict, the Arabic version will prevail unless applicable law requires otherwise.
